Flexible Work Proposal Template for Working Parents

One-page flexible work proposal template

Last reviewed: September 4, 2026

A strong flexible-work proposal fits on one page and answers seven questions: what arrangement you request, when it starts, when you are available, how duties and handoffs will work, how communication will work, what will be measured, and when the arrangement will be reviewed. Keep personal details minimal and separate a voluntary proposal from any formal accommodation request.

The Department of Labor says ordinary flexible schedules are generally matters of agreement between employer and employee. Employer policy, role needs, and applicable legal protections still control.

Practical component: copy-ready one-page template

Flexible Work Proposal

Employee/role: [Name and role]
Proposed start: [Date]
Trial/review period: [Start–end dates; review date]

1. Requested arrangement
I propose [specific days, hours, and locations]. My core availability would be [times and time zone]. [State whether total weekly hours or job scope would change.]

2. Business purpose
This arrangement is designed to support reliable delivery of [core role outcomes] while creating a predictable schedule. It does not change responsibility for [key duties].

3. Weekly operating schedule

Day Location/hours Core meetings or duties Handoff/coverage
Monday
Tuesday
Wednesday
Thursday
Friday

4. Communication and availability
During core hours I will be reachable through [channels] and will respond within [existing role standard]. My calendar and status will show [availability convention]. Urgent items will follow [existing escalation process].

5. Deliverables and success measures
The arrangement can be assessed using [deadlines, quality, client/team coverage, output, response standards, or other existing measures]. Baseline: [current or agreed comparison].

6. Exceptions and continuity
For required onsite/client events, I propose [notice and attendance plan]. If technology or childcare unexpectedly fails, I will use [ordinary outage/leave notification process].

7. Review
I suggest check-ins on [dates] and a final trial review on [date]. We can keep, modify, or end the trial based on the agreed evidence and operating needs.

Open questions/approvals needed: [Policy, equipment, security, payroll, HR, manager.]

Fill the template with evidence

Replace “I will be productive” with the outputs already used to evaluate your role. If the team measures ticket resolution, project milestones, customer coverage, case quality, billable deliverables, or classroom/shift coverage, use those measures. Do not invent favorable metrics that omit core work.

For work that requires physical presence, show how onsite duties fit the schedule. A hybrid proposal can specify two anchor days, advance notice for exceptional events, and which tasks remain onsite. If the role cannot be remote, consider a start-time shift or compressed schedule rather than arguing with the job itself.

Keep the business purpose truthful

You do not need to pretend childcare is irrelevant, but the proposal should explain the operating design. Write:

A consistent 7:30 a.m.–4:00 p.m. schedule would create a reliable pickup boundary while preserving the team’s 9:00 a.m.–3:00 p.m. core collaboration window.

Avoid:

This schedule will make me twice as productive and save the company money.

Unless you have evidence, such a claim weakens trust. The proposal only needs to be workable and reviewable.

Build a real handoff

For each time-sensitive responsibility, name what happens when you are unavailable. A handoff needs consent, context, and authority.

Work item Trigger Handoff recipient Information provided Escalation
Client issue Arrives after core hours Agreed on-call owner Current status and account link Manager if high severity
Physical document Needed on remote day Onsite coordinator Location and authorization Move onsite day if required

Do not assign colleagues in a proposal without discussing the workload.

Define a fair trial

A trial should have a start and end date, baseline, measures, check-ins, and a process for exceptions. Four to eight weeks may be useful in some roles, but choose a period long enough to include normal work and short enough to review. Account for seasonality, planned leave, quarter-end, or a temporary project that would distort results.

Agree whether the arrangement ends automatically without written extension. Record changes during the trial rather than waiting for the final meeting.

Protect privacy and security

State how confidential information, equipment, calls, and records will be protected under existing policy. Confirm remote location, network, device, document disposal, and privacy requirements with the appropriate team. Do not include sensitive medical or family information in a document shared broadly.

If the request is an accommodation for a known limitation related to pregnancy, childbirth, or a related condition, use the employer’s designated process. The EEOC’s PWFA guidance discusses the interactive process and possible accommodations. A manager-facing business proposal does not replace that process.

Email to introduce the proposal

Subject: Proposed flexible-work trial for discussion
I drafted a one-page proposal for [schedule] beginning [date]. It covers availability, core responsibilities, handoffs, success measures, and a review date. I would appreciate 30 minutes to understand any operational concerns and revise the design where appropriate. The document is a proposal, not an assumption that the arrangement is approved.

Frequently asked questions

Should the proposal mention that I am a parent?

It can state the schedule constraint briefly, but the document should focus on operations. Keep sensitive details private and use formal HR channels where a legal accommodation process may apply.

How long should the proposal be?

One page plus a small schedule or metric appendix is usually easier to review. Put policy documents and personal planning elsewhere.

Should I include a fallback?

Yes. A narrower schedule, different days, or shorter trial shows which parts are essential and which can change.

Who should approve it?

Follow employer policy. The manager, HR, security, payroll, or another team may have separate responsibilities. A coworker’s support is not formal approval.
